Conference equipment

Möten is something people do at every opportunity in Sweden and at SciLifeLab, we offer a variety of fully equipped conference rooms for hosting them. In this section, I will provide an overview of our current meeting room options, but please refer to the intranet page for the most up-to-date room availability. Additionally, I’ll share information about some hidden conference rooms located at Gamma 3 and explore how you can make the most of them, whether it’s for showcasing your latest simulations or presenting your shiny new cryo-EM structures, and connect to Zoom to sync with your collaborators.

Room Booking with Google Calendar

Our Room Booking service has moved to Google Calendar, so in order to use it, make sure you’re signed in to your SciLifeLab Email Account (Google Account), either on your Computer’s Web Browser or your iPhone, iPad or Android device.

To reach your Google Calendar, go to calendar.google.com or download the iOS or Android app.

1.) First, make sure you create a Calendar Event with a set date and time. Also, make sure you add your desired guests from the same window.

2.) From the same Event pop-up, you may choose the desired Room (if available) under the ‘Rooms’ tab.

3.) When you’ve selected the available Room click on ‘Save’.

You’ve now booked your event!

How to see and overview of any room

  1. Open up your Google calendar in your web browser.
  2. On the right side of the calendar view there is a section called “Other calendars” Click on the + and choose “Browse resources”
  3. Choose what room you want to look at from the dropdown list depending on what house the room is in.
  4. You choose by ticking the box to the right of the name of the room
  5. To view the room use the back arrow on the top right corner of the page.
  6. A new calendar has now been added to your “other calendars” and you can tick and untick what calendars you would like to see and what is booked in that room and by whom.

Conference Equipment at Gamma 3

We also provide conference equipment in Erik’s and Reba’s offices, as well as the G3-611 breakout room. In our offices, you can connect it using HDMI + USB, similar to the Logitech systems installed throughout the building. In G3-611, you can operate it via the touchpad, which is akin to the Earth/Salt setup. Furthermore, the desktops in Reba’s office and G3-611 have direct access to the LDAP file system, which you can log into using your account.

To connect to a Zoom session, follow these steps:

  1. Switch the TV output to HDMI.
  2. Power on the computer and proceed with the wired keyboard.
  3. The wireless keyboard (if available) can only be used after reaching the login interface.
  4. Open Firefox (if you are also using it with other desktops, close them first).
  5. Access the Zoom session via your browser.
  • If the computer becomes unresponsive, try restarting it by turning it off and on again

Dealing with Conference Equipment Challenges

Navigating through life’s challenges can be tough, especially when it comes to dealing with finicky equipment. Here are some helpful tips to ensure your equipment cooperates:

  • Occasionally, the USB-C adaptors provided for conference rooms may not function optimally. Consider using the ones available in the lab equipment space for more reliable connectivity.
  • In certain conference rooms, you might encounter screen flickering issues, such as in Gamma 5 and Alpha 5. If this occurs, try switching the HDMI cable connected to the screen from one port to another. You can then long press the TV’s power button to switch the input source.

VR Headsets

At Gamma 3, we also have access to 4 Meta Quest 2 VR headsets, which can be very useful for outreach events or teaching, for example. They can be found on the shelves of the Gamma 3 break area. For all services connecting with the headsets, there is a dedicated Google/Meta account, with the email address vrscilifelab@gmail.com, and the password SciLifeLab2023. These credentials can also be used to log in to the Meta app, which you will need to access details about the headsets and connect to eduroam.

To use the headsets properly, they need to be connected to the internet. This can be done, by connecting to the KTH-IoT network from the headsets themselves, with the password SciLifeLab24! . If you are using the headsets at an external event where the KTH network is not available, or want to connect to eduroam for another reason, you will have to use the Meta Quest app from a phone that is connected to eduroam with the account and network secret that you want to use. In the app, go to Menu > Devices and select the appropriate headset. From there, go to the WiFi setting, forget the existing eduroam connection (if any), and log in using your username and network secret. Logging into eduroam directly from the headsets does not seem to work.

If anything is wrong with the headsets, you can also reset them from the Meta Quest app or manually, by holding the power and volume (-) button on your headset down simultaneously until the boot screen loads on your headset. Use the volume buttons on your headset to highlight Factory Reset and press the power button. Use the volume buttons on your headset to highlight Yes and press the power button. To help identifying the headsets from the app (since it is apparently not possible to rename them), the serial numbers associated to the headsets (as labeled), as they appear in the list of devices in the app, are:

  • Headset 1: 1WMHHB685Y2144
  • Headset 2: 1WMHHA60RQ2143
  • Headset 3: 1WMHHB61R22142
  • Headset 4: 1WMHHB653F2145
